Time tracking

Time tracking your clients and your payroll can trust

Start a timer on the task with one click. Workdesk Pro stops it when the work stops, and the rules for changing time are checked on the server.

Honest timers

A timer that notices when work stops

Most time trackers trust the start button. Workdesk Pro checks in four ways that the work is still happening, all on the server, and always tells the person why a timer stopped.

  • Forgotten timer

Stops a set time after the work day ends, and always at the maximum entry length (8 hours by default).

Catches: going home with it running

  • Heartbeat

The app checks in with the server every minute. After 5 minutes of silence, the timer stops at the last contact.

Catches: sleep, crashes and lost Wi-Fi

  • Idle detection

After 5 minutes without keyboard or mouse, the app asks on return whether to keep or remove the away time.

Catches: stepping away from the desk

  • Check-ins

Every hour by default, a quick question: still on this task? Yes, switch task or stop. Set 30 to 120 minutes, or turn it off.

    Catches: working on something else

Workdesk Pro never takes screenshots or records the screen. Honest employees get something too: every hour carries proof that they confirmed it.

Timers on the work itself

Every tracked hour belongs to a task and a project, so reports, pay and profit agree.

  • One click on any task

A start button on every task you are assigned to. One running timer per person, kept on the server, so it survives a restart.

  • Only you start your timer

Admins and the task's reporter can stop it. Others see the button disabled, with the reason.

  • Several people per task

Each assignee tracks their own time and the task shows the total.

  • Check-ins you can answer

Yes, switch task or stop. Answer within 2 minutes and nothing is lost. The question can't be dismissed without an answer.

Rules that keep time honest

Tracked time drives pay and client bills, so changing it is deliberately hard.

  • Admins edit, in the current week only

Only admins add, edit or delete entries, and older weeks are locked.

  • No future time, no overlaps

The server refuses entries in the future or overlapping another entry.

  • A maximum entry length

8 hours by default, set in HR settings. Longer timers stop on their own.

  • Always says why

An Auto-stopped badge and a notification tell the person why a timer stopped.

Reports anyone can check

  • Daily and weekly totals

The Time tracker page shows totals for any range and person, with each entry's project and times.

  • By project, task and person

Expand a project to its tasks and people, or open one person's report with a chart per day, week or month.

  • CSV everywhere

Export any report for Excel or Google Sheets.

  • Fair at the edges

Entries that cross a range count only the part inside it, and running timers count up to now.

Questions about time tracking

No. It never takes screenshots or records the screen. It keeps timers honest with a heartbeat from the app, idle detection and short check-ins that the person answers.
